An acceptance letter is written to convey your acceptance of an offer. This letter helps the reader understand and confirm his/her acceptance. These letters are professional responses to the offers made by an organization or company. The letter has to be professional as it can be used to impress your employers.

  • Begin the letter with your name and contact details. This is followed by the name of the recruiter, company name, company address and phone number. Both the address should be aligned to the left side of the paper. There should be space between your address and company's address.
  • Always make sure that the letter has to address the person who recruited you. It may be the Human Resource Executive, Human Resource Manager.
  • Take care while using salutation. Begin with the word "Dear" followed by the addressor's name.
  • The letter has to be short and concise. You need to thank the recruiter, who offered you the position, convey your acceptance and how eager you are to join the company are the three main things that have to be presented in the letter.
  • The letter should state things like salary, insurance benefits, policies of the company, etc. so that the organization understands that you have clarity in your mind about these facets of the job offer.
  • Always use complimentary closure to end the letter. You can end the letter with words like" Yours truly", " Yours sincerely" followed by space required for your signature and then your full name
  • Use professional fonts to write this type of letter. The font size used should be easily readable.
  • Proofread the letter before sending it. The letter should not have grammatical, typographical or spelling errors.
  • Print the letter on good quality paper and sign the letter before sending it.
